£18,000 – £20,000 We provide voice and data solutions as well as managed and professional services to drive businesses to be more cost effective, agile and increase productivity of their workforce with technology. We are now recruiting for an efficient and organised Office Administrator. The successful applicant will be working across different departments within the business and supporting other members as well as taking on more responsibility as time progresses. Office Administrator Key Responsibilities: Finance: + Billing / Invoicing Queries
+ Administer Company Expenses (supplier invoices) Put supplier invoices into our accounting system and ensure they are paid on time – do monthly cost spreadsheets to keep on top of the expenses
+ Budget Management
+ Submitting Invoices to clients and following up on payments, ensuring any billing queries are handled promptly.
+ Collect receipts and invoices from colleagues and log them in our budget management system. Additionally, you will be responsible for the employee reimbursement process. At the end of each month, you will compile a Management Accounts report to present to the Managing Director. You will be provided with training and support on how to do this. Sales Support: + Undertaking administrative tasks linked to the sales process. This includes, submitting contracts via email, updating the order system and keeping clients informed of order progress.
+ Getting quotes from suppliers and creating PO reference numbers Project Support: + Order Management i.e. Liaising with 3rd Parties (OpenReach, Ingram Micro, Exertis), Client updates such as order progress updates, liaising with site engineers to arrange site visits
+ Ordering mandatory hardware and scheduling installations General Administration: + Calendar updates & management – Booking in sales meetings into relevant calendars.
+ Dealing with inbound calls, keeping on top of customer support queries.
+ Answering phone calls in a professional manner and passing them on to the relevant colleagues. Additionally, you will be responsible for responding to general email and post enquiries.
+ Supporting the diary management of colleagues, including liaising on venue, time and date of meetings and then booking in the individual’s already busy calendar. You may also need to prepare relevant paperwork for said meetings. Supporting the administrative tasks of others as and when needed.
+ As a busy team, you will be supporting colleagues when they need additional capacity.
+ Supporting the writing up of minutes (a record of what was said at a meeting).
+ Keeping shared Inboxes’ organised The qualities that we are looking for to join our team: + Attention to detail

+ Confident with Microsoft Office, especially Excel which will be key aspect of role
+ Good telephone manner
+ Organised and ability to manage time effectively
+ Desire to progress within the company as the business grows
